Diamond Events

Diamond Events decorates and caters South Asian weddings across Scotland, where one wedding is a Mehndi, a Nikkah, a Baraat and a Walima, each with its own menu and hundreds of guests. Menus, quotes, dietary needs and payments lived in message threads and documents. We designed and built one platform for the whole business: a family app where a taste game becomes proposed menus, and an office app that runs the pipeline, kitchen, allergens, rota and money from the same records.

From the first swipeto the last prep sheet.

A South Asian wedding in Scotland is not one event. It is a Mehndi, a Nikkah, a Baraat and a Walima, often a reception too, each with its own menu, its own guest list and hundreds of plates. We built Diamond Events one platform that carries a family from their first taste of the menu to the kitchen's final prep sheet, and runs the business in between.

01 / The brief

One wedding, five events.

Diamond Events has decorated and catered South Asian weddings across Scotland for more than twenty years. One wedding is several functions over several days, each with its own menu, guest count, dietary needs, staff and payments, and all of it lived in message threads, documents and memory. Families had nowhere to see their plan, and the kitchen needed exact quantities and a reliable allergen picture for hundreds of guests at a time.

  2. Function 02

  5. Function 05

    Mixed families, mixed menus

150 to 800 guests a function, halal by default, often booked more than a year ahead

Before
  • Menus agreed in WhatsApp threads
  • Quotes built in Word and Excel, sent as PDFs
  • Dietary needs gathered by hand from each family
  • Quantities and allergens worked out by hand for every function
  • Bank transfers matched to bookings by eye
After
  • The family plays a taste game and gets three menus back
  • Every quote version kept, signed in the app
  • Each household gives its own needs through a private link
  • Quantities and allergen matrices worked out from the locked menu
  • A reference per instalment, matched against the bank line
02 / Taste & Style

Menus you play, not menus you read.

Nobody enjoys choosing a wedding menu from a long PDF. The family swipes, the platform learns, and a proposal comes back with a reason for every dish. Try it: swipe right on what you would serve, left on what you would not.

  3. Main

The real engine scores a catalogue of 70 dishes for each function and returns Classic, Signature and Statement menus. The same swipes always give the same profile, so every proposal can be explained.

03 / The family table

Four phones. One menu.

Weddings are planned by families, not couples. Everyone plays on their own phone, and their answers are pooled with a weight for each role. Where they agree, the menu is settled. Where they do not, nobody is averaged away: it goes on the list for the tasting.

0/4

Waiting for the family to play.

The tasting menu is built from exactly those disagreements, so the family tastes the dishes they are still arguing about and nothing else.

04 · Owner and staff

The office

The office opens on today: four functions this weekend, the kitchen over capacity on Saturday, one payment overdue and five things that need a decision. From there the team works through the pipeline, each event, the kitchen and the voice notes the chefs leave between shifts.

  • →Daily briefing with the weekend, money due and what needs attention
  • →Weekend board across every function and venue
  • →Kitchen view with job sheets, purchasing, ingredients and stock
  • →Voice notes from the team, transcribed and filed against the right event
  • →Owner-only costs, margins and insights

05 · Couple and family

The family app

The couple and their family plan the wedding on their phones: a countdown to the first function, the menus as they come together, the guest links, the payments and a live view on the day. It runs in the browser today and as a native iPhone and Android app on Expo.

  • →Taste & Style game that becomes three proposed menus per function
  • →Quotes with every version kept, accepted in the app
  • →Guest links for RSVPs and dietary needs, no account needed
  • →Bank transfer details with a reference for each instalment
  • →Décor boards, tastings and a live view on the day

06 / Allergen safety

AI never decides what is safe to eat.

Eight hundred guests means somebody at the Walima has a nut allergy. Every dish carries its allergens, every guest gives their own needs through a private link, and the kitchen gets a matrix per function. That logic is plain code with tests behind it, and nothing a model writes ever reaches it.

07 / Kitchen maths

Every number shows its working.

When the family locks their numbers, the kitchen side writes itself: quantities for every dish, batches, pick lists, a prep timeline from two days out and a job sheet ready to print. Each figure is covers times portion times service style times a buffer, so a chef can check it in their head. Move the slider.

08 / One record

Ten stages. Nothing re-typed.

Every booking moves through the same ten stages, and each move does work on its own: emails, reminders, documents, matching. The family, the office and the kitchen are all looking at the same record, so there is never a second copy to fall out of date.
  1. Stage 01

    Enquiry

Logged with the date, venue and source. The family is invited to play.

  2. Stage 02

    Qualified

Date checked against kitchen capacity for that weekend.

  3. Stage 03

    Tasting booked

Disputed dishes go on the tasting menu. Reminders 48 hours out and at 9am on the day.

  4. Stage 04

    Tasted

Scorecards from the tasting become one-tap swaps.

  5. Stage 05

    Proposal sent

Quote versioned and kept. The family gets an email and a push.

  6. Stage 06

    Confirmed

Signed in the app with a typed name and server time. Deposit reference issued.

  7. Stage 07

    Numbers locked

Covers freeze the menu. Job sheets and the allergen matrix are generated.

  8. Stage 08

    Delivered

Floor mode on the day. Allergen table cards printed for every table.

  9. Stage 09

    Balance paid

The bank line is matched to the instalment reference.

  10. Stage 10

    Closed

Actual costs against the quote feed the owner’s margins. Dietary data deleted at 90 days.
